Role Purpose

The Crew Scheduler is responsible for planning, coordinating, and maintaining crew schedules to ensure the timely and efficient allocation of flight crew in line with operational requirements, crew availability, and applicable regulatory and company requirements.

The role works closely with Flight Operations, Operations Control, and other relevant stakeholders to ensure adequate crew coverage and to address changes, disruptions, and short-notice operational requirements.

The Crew Scheduler monitors crew assignments, duty periods, rest requirements, leave, training, and operational changes, making timely adjustments to schedules where required. The role contributes to safe, compliant, and efficient flight operations by ensuring that appropriately qualified crew are available and correctly assigned.

Main Objectives

  • Crew Availability: Maintain accurate and effective crew assignments to meet planned and ad-hoc operational requirements
  • Regulatory Compliance: Ensure crew schedules and assignments comply with applicable Flight Time Limitations, duty, rest, qualification, and company requirements
  • Operational Continuity: Respond promptly to schedule changes, delays, cancellations, crew shortages, and other operational disruptions
  • Schedule Accuracy: Maintain accurate and up-to-date crew rosters, records, and scheduling information within the relevant systems
  • Coordination: Maintain effective communication with operational stakeholders and crew to facilitate timely resolution of scheduling requirements.

Key Accountabilities

  • Prepare and maintain daily and forward crew schedules in accordance with operational requirements
  • Assign appropriately qualified and available crew members to flights and duties
  • Monitor crew duty, flight time, rest, leave, training, and other scheduling constraints
  • Identify potential crew shortages or conflicts and take timely corrective action
  • Coordinate crew changes arising from operational disruptions, delays, cancellations, sickness, or other unforeseen circumstances
  • Ensure all crew assignments meet applicable regulatory, company, and operational requirements
  • Maintain accurate crew scheduling data and records in the designated scheduling systems
  • Coordinate with OCC, Training, and other stakeholders regarding crew requirements
  • Communicate roster changes and operational instructions to affected crew members in a timely manner
  • Escalate significant scheduling issues and potential operational risks to the Sr. Manager – Crew Scheduling
  • Support continuous improvement of crew scheduling processes, procedures, and system utilisation

Required Qualifications

The successful candidate’s prerequisite skills and qualifications for the role include:

  • Diploma or bachelor’s degree in Aviation, Airline Operations, Logistics, Business Administration, or a related discipline; relevant aviation qualifications or training will be an advantage
  • Minimum 2–3 years of relevant experience in cockpit crew scheduling and crew planning
  • Strong planning, coordination, communication, and problem-solving skills, with a high level of accuracy and attention to detail
  • Practical knowledge of crew rostering, crew assignment, duty and rest requirements, and operational scheduling principles
  • Familiarity with applicable aviation regulations relating to crew duty, flight time, rest, and crew qualifications
  • Experience using crew management/rostering software and airline operational systems; proficiency in MS Office applications, particularly Excel, is desirable
  • Ability to work effectively in a 24/7 operational environment, including shifts, weekends, and public holidays where required
  • Aviation industry experience, preferably within an airline, cargo airline, ACMI, or other complex and regulated aviation environment
  • Ability to work under pressure, prioritize competing operational requirements, and make timely decisions within established procedures
  • Strong interpersonal skills and the ability to coordinate effectively with multicultural and cross-functional teams
